For our client in the machinery and equipmentindustry, whichis developing a new production and assembly plant in Szczecin, we are seeking a Warehouse, Logistics, and Administration Coordinator

This is the factory’s early stage of operation, so many processes are still being established. That is precisely why we are looking for someone who not only has practical experience with warehousing and logistics but can also organize work effectively, ensure standards are met, and thrive in an environment where many details still need to be worked out.

Initially, the position will combine several areas—primarily warehousing and logistics, but also select administrative tasks. As the facility grows, production increases, and the team expands, individual functions will gradually become more specialized. This means that the person in this role will have the opportunity to grow alongside the organization.

  • You have 2–5 years of experience in a warehouse, logistics, supply chain, or a similar role.
  • You’re familiar with warehouse processes and know how to efficiently organize receiving, shipping, storage, and inventory control.
  • You have experience working with an ERP system, WMS, or a similar solution that supports warehouse management.
  • You are proficient in Microsoft Office and are comfortable working with documentation and data.
  • Experience gained in a manufacturing, assembly, or industrial environment will be an added advantage.
  • You are able to organize your work independently, set priorities, and consistently complete tasks.
  • You pay attention to detail—especially where accuracy is critical for inventory levels, documentation, and on-time deliveries.
  • Responsibility and independence come naturally to you.
  • You thrive in situations where some processes are already established, while others still need to be developed and organized.
  • You’re ready to combine operational responsibilities with selected administrative tasks.
  • You have a command of English sufficient to communicate fluently in a work environment.
  • If you hold a UDT forklift certification, that will be an added advantage.
  • Experience in organizing international transportation, knowledge of customs documentation, or familiarity with health and safety and UDT requirements in an industrial setting will also be welcome.

Your Responsibilities

What will your role entail? 

Here, the warehouse is more than just a place where we store materials. It’s a key component of a well-run facility. That’s why it’s important to ensure that every material is placed in the right spot, properly labeled, and available when production needs it. 

  • You’ll organize the day-to-day operations of the warehouse—from receiving and unloading deliveries, through storage and picking, all the way to preparing materials and products for shipment. 
  • You’ll ensure that deliveries match the documentation and that any shortages, damage, or discrepancies are properly addressed.
  • We’ll handle the proper identification and flow of materials, and you’ll be responsible for keeping accurate records and documentation.
  • An important part of the role will be collaborating with the production department—preparing materials according to their needs and ensuring a smooth flow between the warehouse and the assembly area.
  • You will organize inventory counts, monitor stock levels, and resolve discrepancies between physical inventory and system data.
  • We’ll also manage warehouse space—ensuring its proper use, organization, and adherence to 5S standards.
  • On the logistics side, you’ll coordinate deliveries and shipments and collaborate with freight forwarders, carriers, and other logistics partners.
  • You will organize shipments, monitor their progress, and coordinate loading and unloading.
  • You will prepare and verify shipping documentation, including packing lists and documents related to international shipping and customs clearance.
  • The ERP/WMS system will be one of your primary tools—you’ll ensure data is up to date, records are accurate, and basic reports are prepared.
  • Since the facility is in the growth phase, part of the role will also involve supporting the Operations Manager and General Manager with selected administrative and organizational tasks.
  • Safety will also be a key aspect of your daily work—this includes adhering to health and safety regulations, fire safety protocols, and the proper use of warehouse equipment.
